In registering for Conference your relevant details (name/organisation) will be incorporated into the delegate list for the benefit of all delegates and may be made available to parties directly related to the Conference including, but not limited to, the Hosts, key suppliers and future Conference events. All super early bird registrations must be paid before midnight (AEDT), Tuesday 17 December 2024. After this date, the early bird rate will apply.

All early bird registrations must be paid before midnight (AEDT), Wednesday 5 March 2025. After this date, the standard rate will apply. 

All fees are quoted in Australian dollars (AUD) and inclusive of 10% GST (Goods and Services Tax).

*You are eligible for the NGO rate if you are working for a Non-Governmental Organisation.

Cancellation of registration deadline: 15 July 2025, 5pm (AEST)

Cancellations must be notified in writing (email is sufficient) to the 5WCWS Conference Secretariat.

  • Cancellations made by 15 July 2025 will result in a full refund, less AUD150 to cover administration costs.
  • Alternatively, your registration may be transferred to another person by 5 September 2025 without incurring any cost penalty. The Conference Secretariat must be advised in writing of any alterations or transfers of registrations.
  • After 15 July 2025, cancelled registrations will only be refunded in exceptional circumstances, as assessed by the Hosts on a case-by-case basis.

If you provide proof of a rejected Visa application to the Conference Secretariat, this may be considered an exceptional circumstance for a full refund, less AUD150 to cover administration costs. 

 

Payment

Payment of any applicable attendance fees is due 30 days after receipt of the invoice or before the start of the Conference, whichever date may fall first. Your registration will remain provisional until payment is received.

 

Conference postponement

In the event of the Conference being postponed, all registrations will automatically be transferred to the new Conference dates. All components of your registration and associated events will also be transferred. If you are unable to attend on the new dates, you may contact the Conference Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund, which will incur an AUD150 administration fee up until the registration cancellation deadline.

 

Conference cancellation

In the event of the Conference being cancelled, all registrations and associated components of attendance will be cancelled, and amounts refunded in full.

 

Photography policy

You acknowledge and agree that the Hosts and the Conference Organiser may be photographing and filming at the Conference and associated events for the purpose of reporting on the Conference and for use in future promotional material; and by registering to attend, you give your consent to be photographed and filmed.

 

Disclaimer

All best endeavours will be made to present the program as published on the Conference website. The Hosts and the Conference Organiser reserve the right to alter, without prior notice, any of the arrangements, timetables, plans, or other items relating to the Conference, for any cause beyond its reasonable control. The Hosts and the Conference Organiser are not liable for any loss or inconvenience caused as a result of such alteration.

In the event of unforeseen circumstances, the Hosts and the Conference Organiser do not accept responsibility for the loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Hosts and the Conference Organiser do not cover individuals against cancellations of bookings or theft or damage to belongings. 

 

Note participants may be photographed or filmed at any time. By attending, you consent to the use, publication, or reproduction of your image or recording in any form of communication material used to promote the event and report on its events through publications and resource materials. If you do not wish to have your image photographed or filmed, please contact the secretariat in advance or onsite to advise of your preference.

 

Code of conduct

The Hosts and the Conference Organiser reserve the right to remove from the Conference at any time any attendee deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to refund of any fees paid. Please view the Code of Conduct which all attendees are expected to comply with.

Delegates who confirm an accommodation booking with a credit card or full pre-payment and who wish to cancel on or after 14 August 2024 are liable for the full cost of their accommodation nights cancelled. Credit card details or full pre-payments will be held on file as a guarantee of booking and shared with the hotel upon situations of no-shows, or late cancellations, to charge at full rate upon their discretion. To cancel your reservation, please contact the Conference Secretariat. Deposits Accommodation will not be confirmed until payment of the first night is received by Credit card or Electronic funds transfer. Your payment will be forwarded to your hotel and credited to your room account and credit card details will be retained on file as a guarantee of booking. Delegates must settle the balance of their account with the hotel concerned upon check in/out, depending on the hotels policy. If accommodation deposits are not received before 14 August 2025 your room will be cancelled and released back to the hotel. The Conference Secretariat does not take responsibility for accommodation if payment is not received by this date. Change of booking Any change in booking must be made in writing to the Conference Secretariat and not directly to the hotel before 14 August 2025. Any changes received after 14 August 2025 will be at the hotel’s discretion and based on availability. Early arrival As check in at most hotels is not until 14:00, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Conference Secretariat so we can notify the hotel that your room is required early. No show policy In the event of a “No Show” on the date of arrival, full cancellation penalties apply to all nights of the stay.
