Cancellation of Registration Deadline: Friday 25 April 2025
Cancellations must be notified in writing (e-mail is sufficient) to the Conference Secretariat. Cancellations made by Friday 25 April, 2025 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by Friday 25 April, 2025, without incurring any cost penalty. Refunds for cancellations received after Friday 25 April, 2025, will only be made in exceptional circumstances. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Conference Secretariat must be advised in writing of any alterations or transfers of registrations.

Disclaimer
In registering for the AAABG 2025 Conference relevant details (name/country) will be incorporated into a delegate list for the benefit of all delegates, and also may be made available (if necessary) to parties directly related to the Conference including venues, accommodation providers, sponsors, key suppliers and future Conferences. Your name and contact information may be used by the Conference Secretariat and other approved stakeholders, for marketing and managing this and future events of this type.
All best endeavours will be made to present the program as published on Monday 9 June, 2025. The conference and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The host and the Conference Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the host and the Conference Organisers do not accept responsibility for the loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The conference does not cover individuals against cancellations of bookings or theft or damage to belongings.

In the event of a postponement, all registrations will automatically be transferred to the new Conference dates. All components of your registration including accommodation bookings, will also be transferred. If you are unable to attend on the new dates, you may contact the Conference Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 administration fee up until the Registration Cancellation Deadline.

In the event of the cancellation of the conference, all registrations and associated components of attendance will be cancelled and amounts refunded in full.

Social Functions

All full-conference delegates receive a complimentary ticket to the Welcome Function, with the option to buy additional tickets. All delegates can also purchase tickets for the Conference Dinner. Day registration types have the opportunity to purchase tickets to both social events.

Field Days Tours

Venture on an exciting guided tour through one of two iconic New Zealand farms: the stunning Earnscleugh Station or the breathtaking Eyre Creek Station. Field Day Tours - Eyre Creek Station

Eyre Creek Station, a 1600ha sheep, cattle, and deer farm on New Zealand’s South Island, offers a true taste of rural New Zealand with its stunning vistas and sustainable farming practices. Owned by Pāmu (State-Owned Enterprise), the station is home to over 1200 breeding Red hinds. Visitors will learn about the work being done to advance deer genetics in New Zealand, including the use of CT scanning, and hear about deer behavior research conducted at the station, all while experiencing traditional farming in a beautiful, natural setting.

Field Days Tours - Earnscleugh Station

Earnscleugh Station, located near Clyde on New Zealand’s South Island, is a high-country sheep and cattle farm offering stunning views and a unique insight into sustainable farming and the region's agricultural heritage. Managed by Alistair and Duncan Campbell and family, the station spans 21,000 hectares with 5 sheep breeding programs and 4 cattle studs. Visitors will learn about their innovative breeding techniques and see fleeces and rams under 12 microns on display, showcasing their progress toward breeding the world’s finest Merino genetics.

Field Days Tours - Transportation

Please indicate your transportation needs for the field day tours to Eyre Creek Station and Earnscleugh Station. Let us know whether you will be providing your own transportation or if you require transportation to and from these locations. This information will help us coordinate logistics and ensure all delegates are accommodated appropriately.


Accommodation 

The AAABG 2025 Conference Secretariat has negotiated special rates at the below hotel during the Conference. You are encouraged to secure your accommodation through the Secretariat to ensure that you receive the negotiated competitive rates.

If you are not booking accommodation through the Secretariat please select the "No Accommodation Booking Required" button to proceed, followed by the "Next" button at the bottom of the page.

Please note:

  • A deposit of one night only is required to secure your booking
  • Bookings are subject to availability
  • Breakfast is included in your booking 
  • The rates listed are shown per night, per room. The same rates will apply for the full stay
  • The rates are in New Zealand Dollars (NZD), inclusive of 15% Goods and Services Tax (GST) which is payable to the hotel chosen. There are no other additional charges to the hotel booking other than a credit card surcharge if paying by credit card

    If accommodation payments are not received by Friday 25 April, 2025 your room will be released back to the hotel and you may be liable for full payment. The Conference Secretariat does not take responsibility for accommodation if deposits are not received by this date.

    If you require accommodation outside the nights of 23 June - 26 June 2025, please make a reservation for these nights and then email the Conference Secretariat with your preferred dates.

    If you are unable to book accommodation due to no availability, please contact the Secretariat first, as we will be able to contact the hotel to arrange a room for you.

Individual bookings cancelled prior to thirty, Friday 25 April, 2025 will incur no penalty. Any cancellation after Friday 25 April, 2025 or any no shows will be charged a cancellation fee equal to 100% of the booking period. Cancellation fee will be retained by The Hotel.

Accommodation Cancellations
No accommodation payments will be refunded on or after Friday 25 April, 2025
Delegates who confirm attendance by paying a minimum of the first night and do not advise of cancellation before Friday 25 April, 2025 the ‘no show’ rate, as penalised by the hotel, will be charged to you and your payment will not be refunded. This charge is calculated as the room rate per night multiplied by the dates booked and secured. Please ensure that accommodation dates are correct at time of booking and before Friday 25 April, 2025 if any changes are required.

Change of booking
Any change in booking must be made in writing to the Conference Secretariat and NOT directly to the hotel before Friday 25 April, 2025. Any changes received after Friday 25 April, 2025 will be at the hotels discretion and based on availability.

Early arrival
As check in at most hotels is not until 1400, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Conference Secretariat on the registration form so we can notify the hotel that your room is required early.

No Show
In the event of a “No Show” on the date of arrival, full cancellation penalties apply to all nights of the stay.
