Terms and Conditions 

Cancellation of Registration Deadline: 17 July 2025

Cancellations must be notified in writing (e-mail is sufficient) to the Meeting Secretariat. Cancellations made by 17 July 2025 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by 17 July 2025 without incurring any cost penalty. Refunds for cancellations received after 17 July 2025 will only be made in exceptional circumstances. The host reserves the final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Meeting Secretariat must be advised in writing of any alterations or transfers of registrations.

The Meeting and its agents reserve the right to alter without prior notice any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The host and the Meeting Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the host and the Meeting Organisers do not accept responsibility for the loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Meeting does not cover individuals against cancellations of bookings or theft, or damage to belongings. 
Note, participants may be photographed or filmed at any time. By attending, you consent to the use, publication, or reproduction of your image or recording in any form of communication material used to promote the event and report on its events through publications and resource materials. If you do not wish to have your image photographed or filmed, please contact the secretariat in advance or onsite to advise of your preference.

Meeting Postponement:
In the event of a postponement, all registrations will automatically be transferred to the new Meeting dates. All components of your registration, including accommodation bookings, the Welcome Reception and the Gala Dinner, will also be transferred. If you are unable to attend on the new dates, you may contact the Meeting Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund, which will incur a $150 administration fee up until the Registration Cancellation Deadline.


Meeting Cancellation:
In the event of the cancellation of the Meeting, all registrations and associated components of attendance will be cancelled and amounts refunded in full.

Accommodation

The Bowen Basin Symposium Secretariat has secured a range of accommodation options from single to premier rooms to shared apartments all in the vicinity of the conference venue, the Mackay Entertainment and Convention Centre (MECC). 

Delegates can easily make an accommodation reservation via the online registration form. All rooms and rates below are held until Monday 8 September 2025 or until sold out. Rooms are available on a first-come first-served basis. Please ensure to book your accommodation early to avoid disappointment. 

If accommodation payments are not received by  Friday, 15 August 2025, your room will be released back to the hotel, and you will be liable for full payment. The HRI 2025 Conference Secretariat does not take responsibility for accommodation if deposits are not received by this date. 

Kindly contact the BBS Symposium Secretariat should you wish to: 

  • Modify your accommodation booking or choose to book accommodation after  Friday, 15 August 2025

  • Require accommodation outside the nights of 14 and 19 of September.

Boasting a restaurant, a bar and a gaming lounge, Rydges Mackay Suites is located in the Mackay Central Business District. Cancellations
NO ACCOMMODATION PAYMENTS WILL BE REFUNDED ON OR AFTER 15 August 2025. Delegates who confirm an accommodation booking with a credit card or full pre-payment and who wish to cancel on or after 15 August 2025 are liable for the full cost of their accommodation nights cancelled. Credit Card details or full pre-payments will be held on file as a guarantee of booking and shared with the hotel upon situations of no-shows or late cancellations, to charge at full rate at their discretion. To cancel your reservation, please contact the Symposium Secretariat. Name changes to a reservation can be made at no charge.

Deposits  
Accommodation will not be confirmed until payment of the first night is received by Credit Card or full pre-payment is received by Cheque or Electronic Funds Transfer. Your payment will be forwarded to your hotel and credited to your room account, and credit card details will be retained on file as a guarantee of the booking. Delegates must settle the balance of their account with the hotel concerned upon check in/out, depending on the hotel's policy. If accommodation deposits are not received before 15 August 2025, your room will be cancelled and released back to the hotel. The Symposium Secretariat does not take responsibility for accommodation if payment is not received by this date.

Change of booking
Any change in booking must be made in writing to the Symposium Secretariat and NOT directly to the hotel before 15 August 2025. Any changes received after 15 August 2025 will be at the hotel’s discretion and based on availability.

Early arrival
As check-in at most hotels is not until 14:00, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation, you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the Symposium Secretariat so we can notify the hotel that your room is required early.

No show policy
In the event of a “No Show” on the date of arrival, full cancellation penalties apply to all nights of the stay.

This charge is calculated at the room rate per night multiplied by the dates booked and secured. Please ensure that accommodation dates are correct at time of booking and before 1 August 2025 if any changes are required.  Change of booking  Any change in booking must be made in writing to the Symposium Secretariat and NOT directly to the hotel before 1 August 2025.
