Cancellation of Registration 
Cancellations (partial or full) must be made in writing to the Conference Secretariat. There will be no refunds however, as an alternative to cancellation, your registration may be transferred to another person by 8 July 2025, without incurring any cost penalty. The host reserves the final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Conference Secretariat must be advised in writing of any alterations or transfers of registrations.

NB: If you are unable to book accommodation due to no availability, please contact the Conference Secretariat first, as we may be able to contact the hotel to arrange a room for you.

Accommodation Rates

The Conference Secretariat has endeavoured to secure competitive and economical room rates at the above hotels. Please note that due to the terms and conditions of group accommodation blocks, these rates may differ to the rates available when booking with the hotel direct.

Deposits

Accommodation will not be confirmed until payment of the first night is received by credit card  or EFT, or full pre-payment is received by electronic fund transfer. Your payment will be forwarded to your hotel and credited to your room account. delegates must settle the balance of their account with the hotel concerned upon check-in/out depending on the hotel's policy. If accommodation deposits are not received before 23 September 2024, your room will be cancelled and released back to the hotel. The Conference Secretariat does not take responsibility for accommodation if payment is not received by this date.

Cancellations
No accommodation payments will be refunded on or after 8 August 2025. If you book accommodation and then cancel prior to 8 August 2025, your deposit will be refunded. Participants who confirm an accommodation booking with a credit card or full pre-payment and who wish to cancel on or after 8 August 2025 are liable for the full cost of their cancelled accommodation. To cancel your reservation, please contact the Conference Secretariat. Name changes can be made to a reservation at no charge. 

Early Arrival
As check-in at most hotels is not until 1400, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodation early arrivals if you wish to be guaranteed immediate occupation, you can pay an extra day's tariff for the night before you are due to arrive. if you wish to take this precaution, please advice the Conference Secretariat so we can notify the hotel that your room is required early.

No Show Policy
In the event of a 'No show' on the date of arrival, full cancellation penalties apply to all nights of the stay.
