For an accepted paper to be included in the conference proceedings, we require at least one author to register for the conference.

Each registration can cover at most two papers. If you an author of more than two papers, please ensure that you have a co-author also registered to the conference.

In registering for HRI relevant details (name/organisation/email) will be incorporated into a delegate list for the benefit of all delegates, and also may be made available (if necessary) to parties directly related to the conference including venues, accommodation providers, sponsors, key suppliers and future conferences. Your name and contact information may be used by the Conference Secretariat and other approved stakeholders, for marketing and managing this and future events of this type.

The Workshop and Tutorials Only price is initially listed as $0 to give you the flexibility to explore and choose the workshop that best fits your needs. Once you have selected your preferred workshop, the final price will be determined based on the specific session and any additional services or materials included. This approach ensures transparency and allows you to make an informed decision before committing to the cost. Please note that the total price will be clearly outlined once the workshop selection is complete.



Terms and Conditions

·         Cancellation of Registration Deadline: February 1st 2025

Cancellations must be notified in writing (e-mail is sufficient) to the Conference Secretariat. Cancellations made by February 1st, 2025, will result in a full refund less $150 AUD to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by February 15th, 2025, without incurring any cost penalty. Refunds for cancellations received after February 1st, 2025, will only be made in exceptional circumstances. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Conference Secretariat must be advised in writing of any alterations or transfers of registrations.

 

·         Conference Postponement

In the event of a postponement, all registrations will automatically be transferred to the new Conference dates. All components of your registration including accommodation bookings, Welcome Reception RSVP and Awards Dinner RSVP will also be transferred. If you are unable to attend on the new dates, you may contact the Conference Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 AUD administration fee up until the Registration Cancellation Deadline.

In the event of the cancellation of the conference, all registrations and associated components of attendance will be cancelled and amounts refunded in full.

Accommodation

The Human-Robot Interaction organising committee has secured a range of accommodation options from single to premier rooms to shared apartments all in the vicinity of the conference venue, the Melbourne Convention and Exhibition Centre (MCEC). 

Delegates can easily make an accommodation reservation via the online registration form. All rooms and rates below are held until Wednesday 29 January 2025 or until sold out. Rooms are available on a first-come first-served basis. Please ensure to book your accommodation early to avoid disappointment. 

If accommodation payments are not received by Wednesday 29 January 2025, your room will be released back to the hotel, and you will be liable for full payment. The HRI 2025 Conference Secretariat does not take responsibility for accommodation if deposits are not received by this date. 

Kindly contact the HRI Conference Secretariat should you wish to: 

  • Modify your accommodation booking or choose to book accommodation after Wednesday 29 January 2025

  • Require accommodation outside the nights of 1 March 2025 to 7 March 2025

Individual bookings cancelled prior to thirty (30) will incur no penalty. Between 30 days prior to arrival until 14 days the deposit of one night will be retained. Any cancellation from 14 days and no show will be charged a cancellation fee equal to 100% of the booking period. Cancellation fee will be retained by The Hotel.

We are highly committed to making this event sustainable and greatly appreciate your support. To make the most of your trip, we encourage you to explore our networking map, which highlights labs in Australia and labs that are open to connecting and hosting researchers - an excellent opportunity to expand your network before, during and after the event. If you can, consider extending your trip to Australia, and take a few days to visit some of the research labs suggested in this map. Or why not take a few days to explore Melbourne and Victoria as well! Keep an eye on our website for other sustainability action steps we have taken and upcoming sustainability tips and initiatives. Please bring your own water bottle to stay hydrated, consider reusing a lanyard from a previous event, and take advantage of Melbourne’s public transport, especially the free tram zone, to get around. If accommodation payments are not received by Wednesday, January 29, 2025, your booking will be released, and you will remain liable for the full payment. Please note that the HRI 2025 Conference Secretariat is not responsible for accommodation bookings if deposits are not received by this date. Disclaimer All best endeavours will be made to present the program as published on Sunday 2 February 2025. The Conference and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The host and the Conference Organisers are not liable for any loss or inconvenience caused as a result of such alteration.
