Cancellation of Registration Deadline: Wednesday, 13 August 2025
Cancellations must be notified in writing (email is sufficient) to the IDW 2025 Secretariat. Cancellations made by Wednesday, 13 August 2025 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by Wednesday, 13 August 2025, without incurring any cost penalty. Refunds for cancellations received after Wednesday, 13 August 2025, will only be made in exceptional circumstances. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The IDW 2025 Secretariat must be advised in writing of any alterations or transfers of registrations.

During the IDW 2025 Conference, participants may be photographed or filmed at any time. By attending, you consent to the use, publication, or reproduction of your image or recording in any form of communication material used to promote IDW 2025 and report on its events through publications and resource materials. If you do not wish to have your image photographed or filmed, please contact the conference secretariat in advance or onsite to advise of your preference.


IDW 2025 Postponement 
In the event of a postponement, all registrations will automatically be transferred to the new IDW 2025 dates. All components of your registration including accommodation bookings, Social Function RSVPs will also be transferred. If you are unable to attend on the new dates, you may contact the IDW 2025 Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 administration fee up until the Registration Cancellation Deadline. 


IDW 2025 Cancellation 
In the event of the cancellation of IDW 2025, all registrations and associated components of attendance will be cancelled and amounts refunded in full.

Social Events

We are delighted to share that we have two social evening events available within IDW 2025 on Monday and Wednesday evenings.

The Welcome Reception will be on Monday evening at the conference venue alongside a poster session.

If you have selected a Full Registration, your ticket to the Welcome Reception is included in the purchase price. Those who have selected a single Day Registration, or would like to bring a partner or guest, are required to purchase a ticket to the Welcome Reception. If you would like to purchase an additional ticket/s you may do so below.

The International Data Week 2025 Secretariat has negotiated special rates at the listed hotels during the IDW 2025 Event. You are encouraged to secure your accommodation through the Secretariat to ensure that you receive the negotiated competitive rates.

- First night's deposits are collected as confirmation of your booking. This excludes CLLIX Apartments (Ivy & Eve Apartments and Atlas Apartments) require FULL payment upon booking. 
- Bookings are subject to availability.
- Breakfast is NOT included unless otherwise stated.
- The rates listed are shown per night, per room. The same rates will apply for the full stay.
- The rates are in Australian Dollars (AUD), inclusive of 10% Goods and Services Tax (GST) which is payable to the hotel chosen. There are no other additional charges to the hotel booking other than a credit card surcharge if paying by credit card.

Change of booking
Any change in booking must be made in writing to the IDW 2025 Secretariat and NOT directly to the hotel before Thursday 11 September 2025. Any changes received after Thursday 11 September 2025 will be charged the ‘no show’ rate, as penalised by the hotel. This charge is calculated as the room rate per night multiplied by the dates booked and secured. Please ensure that accommodation dates are correct at time of booking and before Thursday 11 September 2025 if any changes are required.


Early arrival
As check in at most hotels is not until 1400, it is possible that your room may not be ready for immediate occupation on your early arrival. Whilst hotels will do everything possible to accommodate early arrivals, if you wish to be guaranteed immediate occupation you can pay an extra day’s tariff for the night before you are due to arrive. If you wish to take this precaution, please advise the IDW 2025 Secretariat on the registration form so we can notify the hotel that your room is required early.

No Show
In the event of a “No Show” on the date of arrival, full cancellation penalties apply to all nights of the stay.

As IDW is all about building legacy, we have two routes where you can contribute to our event theme: data for positive change – empowering communities and advancing research. 

If you would like to donate a custom amount, please contact the IDW Secretariat after you register.

Support an LMIC or scholarship registration

To help include everyone to have a seat at the table and participate in the important discussions at IDW 2025, we are offering delegates the opportunity to contribute to a registration for a delegate from a LMIC.

A  AUD $400 donation to the LMIC grant will cover the cost of one registration. Would you help us by covering the cost of a registration for a member of a LMIC to attend the conference?

Support the Reef Donations

In Australia the Great Barrier Reef is very important to us. It’s enormous - about the size of Germany, or the US state of Montana - so there’s a lot to cherish and preserve. We’ve partnered with the Reef Restoration Foundation who’s core mission is to restore coral reefs, educate others on the importance of our oceans and use science to further coral research and reef monitoring techniques.

Despite cyclones, crown-of-thorns starfish outbreaks and mass coral bleaching from 2016 to 2019, average hard coral cover on reefs in the Central Great Barrier Reef increased from 12% in 2019 to 14% in 2020.

Cancellation of Registration Deadline: Wednesday, 13 August 2025 Cancellations must be notified in writing (email is sufficient) to the IDW 2025 Secretariat. Cancellations made by Wednesday, 13 August 2025 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by Wednesday, 13 August 2025, without incurring any cost penalty. Refunds for cancellations received after Wednesday, 13 August 2025, will only be made in exceptional circumstances. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The IDW 2025 Secretariat must be advised in writing of any alterations or transfers of registrations. Disclaimer  All best endeavours will be made to present the program as published on the IDW 2025 website. IDW 2025 and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The host and the IDW 2025 Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the host and the IDW 2025 Organisers do not accept responsibility for the loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The IDW 2025 does not cover individuals against cancellations of bookings or theft or damage to belongings. Note participants may be photographed or filmed at any time. By attending, you consent to the use, publication, or reproduction of your image or recording in any form of communication material used to promote the event and report on its events through publications and resource materials. If you do not wish to have your image photographed or filmed, please contact the secretariat in advance or onsite to advise of your preference. IDW 2025 Postponement  In the event of a postponement, all registrations will automatically be transferred to the new IDW 2025 dates. All components of your registration including accommodation bookings, Welcome Reception RSVP and Dinner RSVP will also be transferred. If you are unable to attend on the new dates, you may contact the IDW 2025 Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 administration fee up until the Registration Cancellation Deadline.  IDW 2025 Cancellation  In the event of the cancellation of IDW 2025, all registrations and associated components of attendance will be cancelled and amounts refunded in full.
