Cancellation of Registration Deadline: Wednesday, 13 August 2025
Cancellations must be notified in writing (email is sufficient) to the IDW 2025 Secretariat via registration@idw2025.org. Cancellations made before Wednesday, 13 August 2025 AEST will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by this date without incurring a cost penalty.
After this date, changes from in-person to virtual attendance will not be permitted. In-person registrations are not interchangeable with virtual attendance, and no refund or partial refund will be provided if a delegate chooses not to attend in person and instead accesses the online program.
Refunds for cancellations received after Wednesday, 13 August 2025 AEST, will only be made in exceptional circumstances and must be supported by documentation. Decisions will be made at the discretion of the Local Organising Committee on a case-by-case basis for granting a cancellation in extenuating circumstances.
It is strongly recommended that delegates arrange personal travel insurance at the time of registering, and it is the responsibility of the delegate to organise their own visa to enter Australia. The IDW 2025 Secretariat must be advised in writing of any alterations or transfers of registrations via registration@idw2025.org.

IDW 2025 and its agents reserve the right to alter, without prior notice, any of the arrangements, timetables, plans, or other items relating to the meeting for any cause beyond its reasonable control. The host and the IDW 2025 Organisers are not liable for any loss or inconvenience caused as a result of such alteration.
IDW 2025 offers numerous sessions and networking opportunities where participants can exchange information and engage with key topics of the Conference. While every effort is made to ensure the relevance, accuracy, and completeness of the content, IDW 2025 assumes no responsibility for its topicality or correctness. Announced lectures and speakers may be subject to change, and substitutions may be made as necessary.
In the event of unforeseen circumstances, the host and the IDW 2025 Organisers do not accept responsibility for any financial loss caused by delays. Participants are advised to take out personal travel insurance, including coverage for personal possessions, cancellations, and unexpected disruptions. IDW 2025 does not cover individuals against cancellations of bookings, theft, or damage to belongings.
During the IDW 2025 Conference, participants may be photographed or filmed at any time. By attending, you consent to the use, publication, or reproduction of your image or recording in any form of communication material used to promote IDW 2025 and report on its events through publications and resource materials. If you do not wish to have your image photographed or filmed, please contact the conference secretariat in advance or onsite to advise of your preference.
IDW 2025 Postponement
In the event of a postponement, all registrations will automatically be transferred to the new IDW 2025 dates. All components of your registration including accommodation bookings, Welcome Reception and Poster Session RSVP and Eat Street Social RVSP will also be transferred. If you are unable to attend on the new dates, you may contact the IDW 2025 Secretariat to request a transfer of your registration to a colleague at no cost, or request a cancellation and refund which will incur a $150 administration fee up until the Registration Cancellation Deadline.
IDW 2025 Cancellation
In the event of the cancellation of IDW 2025, all registrations and associated components of attendance will be cancelled and amounts refunded in full.
