Exhibition Booths

A standard 3mx3m exhibition booth includes the following, please refer to your sponsorship entitlements to confirm your booth size.

  • Back and side walls
  • Organisation name on fascia over open side
  • Two spotlights
  • One standard 4amp power outlet
  • Carpeted tiles for booth area only
  • One table
  • Two chairs

Exhibition Tabletops

A standard exhibition tabletop includes the following:

  • Trestle table with cloth
  • Two chairs
  • Backboard
  • Company name on fascia sign
  • One standard 4amp power outlet


What you can have on an Exhibition Stand:

We encourage you to be creative with the items on your exhibition stand, as this will encourage delegate traffic to your display. Below are some examples of items we have seen previously in our exhibitions.


Please note, the following items are not permitted on your exhibition booth unless they are purchased as Sponsorship Opportunities. For more details, please contact us.

MCEC’s exhibitor services offers on-stand catering, personal internet packages, and more. noting orders must be placed at least 7 business days before the conference begins.

EXTERNAL FOOD & BEVERAGE SUPPLIER

MCEC has sole catering rights. If you’re planning to bring in external food or drinks, you’ll need prior approval from Exhibitor Services, and an external supply charge may apply.

To distribute sample servings of food and beverage, you must adhere to the guidelines below:

  • Get approval from both your event organiser and MCEC. To get MCEC approval, please complete the sampling and selling approval form and return it to exservices@mcec.com.au no later than 7 business days prior to your event.

  • Sample portions must be of tasting style and size only, no larger than 50g or 50ml.

  • Samples must be directly related to your core business either demonstrating a food product or equipment.

  • Alcohol sampling portions must be no more than 10ml for spirits and 30ml for wine, beer and cider.

  • Samples must be offered free of charge.

  • It is your responsibility to be fully self-sufficient in terms of storage and service equipment specific to your food and/or beverage sampling.

  • You will be charged for extra cleaning in case of spillage or for the removal of food or wet waste incurred at your stand.

  • Please note: The Victorian Government has recently banned single-use plastics in the state due to the harm they cause to the environment. The ban includes the sale and distribution of single-use plastic items like straws, stirrers, cutlery, plates, cotton buds, foodware, and cups at exhibitor stands. Instead, you should use or stock sustainable and biodegradable natural versions like wood or metal. Visit vic.gov.au/plastics for more info.

PLEASE NOTE: High-visibility safety vests and closed-toe shoes must be worn at all times during both bump-in and bump-out. Access to the exhibition space will not be permitted without appropriate safety attire during these periods.

Delivery Information

Self-delivery and Couriers (bulky items): to be delivered on the day of your move in only (Monday 1 September). MEC  loading dock Is located at the rear of the Exhibition Centre Doors 11-21 (Map). Maximum of 30 minutes parking at dock. Exhibitors or the contracted Freight Forwarder is responsible in the transfer of goods from the dock to the event space unless alternate arrangement has been pre-arranged by the Event Organiser.

Car Park (small items): small items can be carried in by hand or small trolley, park at the Centre and proceed to the event space. Large trolleys and freight are not permitted in guest lifts. Bulky freight should be moved in through the Loading dock.

Storage

Storage is limited at 14WCC 2025. We ask that you please keep your items within your stand area. Any items of value please take these with you at the end of each day. 


Site Induction

Before exhibiting at the at MCEC, Pease complete the site induction venue induction form.


Conference App

The 14WCC 2025 Congress App will be a tool used by delegates throughout the conference. Sponsor and Exhibitor Profiles will be available for delegates to view within the Congress App. Please check your entitlements for more information.
